KAYAK is seeking a part-time Office Manager for our beautiful Copenhagen office to create exceptional in‑office experiences that help teams connect and collaborate. As a member of the Global Workplace Experience team, you’ll drive daily operations, first impressions for new hires, and engaging on‑site events, shaping the small moments that boost engagement and productivity. This is a part-time role (28 hours) in our Copenhagen office

IN THIS ROLE, YOU WILL:

- Create a positive, inclusive workplace: greet employees, visitors, candidates and vendors; build relationships to understand needs and improve experience.

- Run daily office operations: perform daily walkthroughs, maintain shared spaces, manage furniture/equipment upkeep and cleanliness.

- Manage supplies & vendors: coordinate purchasing, inventory, vendor contracts, service coordination, and invoice processing.

- Set up and handle daily catering, beverages, snacks, and lunches

- Work closely with the Social Committee to set up micro events, happy hours and events from concept to teardown.

- Facilities & IT partnership: coordinate with Real Estate on maintenance, lease/contract matters and with IT on onsite AV and tech needs.

- Help onboard new hires (office tours, local health & safety)

- Support smaller offices in EMEA with remote office management

- Drive local communication on Slack, intranet and info screens

- Handle global info screen content

- Organize office documentation and storage, support global Workplace Experience initiatives, reporting, ad‑hoc projects and admin tasks.

- This position reports to the Team Lead in Workplace Experience, based in Berlin.

- Experience in office management, operations, or a similar coordination role — equivalent experience, transferable skills, or non-traditional career paths are equally welcome

- A people-oriented approach: you're friendly, professional, and genuinely enjoy creating a positive environment for others

- Strong organisational and time-management skills, with the ability to manage multiple priorities effectively

- Strong verbal and written communication skills in Danish & English

- Comfort working onsite and supporting multiple locations remotely

- Confidence using Google Workspace and Slack

- Experience coordinating events, catering, and vendor relationships

- Familiarity with facilities and lease coordination
